In the first week of December 2025, India's largest airline cancelled flights on a scale few travel managers had planned for. Refunds worth ₹745 crore were processed for 7.3 lakh cancelled bookings between 1 and 8 December alone. Teams that had every traveller on one carrier, on one day, felt it the hardest.
That episode is a useful lesson for anyone booking corporate travel for 30, 50 or 200 people heading to several cities at once. Large-team trips rarely fail because of one bad booking. They fail because of scattered requests, late name changes, and no backup plan. The fix is a repeatable process: one traveller list, early and spread-out flight bookings, city-specific ground plans, clear billing rules and a live support desk during the trip.
Multi-city group travel combines several moving parts. Different teams submit requests at different times. Names change after tickets are issued. Hotels in one city fill up while another city is still being planned.
Airline concentration adds risk. In May 2025, IndiGo carried 64% of India's domestic passengers and the Air India Group carried 26.5%. On-time performance at India's six major airports that month was 84% for IndiGo and 79.7% for Air India. Those are solid numbers, but across dozens of travellers, some delays are close to certain.
Payments are another weak spot. A 2025 GBTA and Visa study found that 30% of organisations use no corporate payment method for travel within India, which usually means personal cards and reimbursement claims.
Everything starts with one master list. Without it, you end up reconciling five spreadsheets the night before departure.
Your manifest should capture:
Set a firm cut-off date for changes. After that, any change goes through a single coordinator so nothing slips between teams.
Flights are usually the highest cost and the hardest to change, so they deserve the most planning.
Airlines typically handle larger groups through dedicated group desks, with separate fare rules and deadlines for submitting names and payment. Group fares can offer stability, while individual fares can be cheaper or more flexible on some routes. Compare both options and read the change and cancellation terms before committing.
Spreading travellers across two or more departures, and where practical more than one airline, limits the damage if a flight is delayed or cancelled. For an event with a fixed start time, schedule arrivals with a buffer of several hours, or the previous evening for key speakers and organisers.
Each city needs its own plan. A hotel that works for a team in Mumbai has nothing to do with what works in Hyderabad.
Here's an illustrative example of how one multi-city trip might be organised:
|
City |
Team size |
Stay |
Ground transport |
|
Mumbai |
40 |
Hotel near the event venue |
Coach for airport and venue transfers |
|
Hyderabad |
15 |
Hotel near the client site |
Sedans on a fixed schedule |
|
Chennai |
8 |
Hotel near the regional office |
Individual airport pickups |
Book hotels as soon as flight dates are fixed, and confirm rooming lists in writing. For ground transport, share the full flight manifest with your cab provider, so pickups track actual arrival times.
Large trips create a lot of paperwork. Agreeing the rules upfront saves weeks of reconciliation afterwards.
GBTA India Country Manager Jyothi Varma has said corporate buyers need "effective processes for managing their spending" as travel grows. For a large-team trip, that means:
Once people are moving, someone needs to own the trip in real time. This is where corporate travel planning turns into execution.
You can run this playbook in different ways. A corporate travel booking system gives you policy controls and reporting, but your internal team still handles groups, changes, and disruptions. Corporate flight booking agents can manage group desks and rebooking, though often only for air travel.
Many companies with frequent multi-city trips choose corporate travel booking companies that handle flights, hotels, cabs, and billing under one account. The right choice depends on how often you move large groups and how much your team can manage internally.
SKIL Travel is a Mumbai-based corporate travel management company that reports a 20+ year legacy, more than 350 corporate clients, and over 1.5 million bookings, according to its website. Its corporate travel services cover air ticketing, global accommodations, visa assistance, and MICE and events, backed by 24/7 support.
For ground transport, Cabi by SKIL lists 235+ locations across India and an inventory of 6,500+ cabs and coaches on its service page, along with coaches for groups, airport representatives, and a 60-minute replacement policy. Client testimonials on the SKIL site mention a distributor meeting for Marico and a group stay at Novotel and Sahara Star for NSDC.
If you're planning a multi-city team trip, you can reach the SKIL Travel team through its contact page or at sales@skiltravel.com. Share your manifest, cities, and dates, and ask for flight, hotel, and transport options side by side.
Large-team travel gets easier the second time, as long as the first trip is documented. Keep your manifest template, note which hotels and transport worked in each city, and record what went wrong. A repeatable process does more to protect your team than any single booking decision.

The best approach is to create a centralised traveller manifest, book flights early, arrange hotels and ground transport for each city, and establish clear approval and billing rules. A dedicated coordinator or corporate travel management partner can manage changes, communicate updates, and help resolve disruptions throughout the trip.
Companies should begin planning as soon as travel dates, destinations, and attendee numbers are confirmed. Early planning provides more opportunities to compare flight fares, secure suitable hotel rooms, and arrange group transport. For peak seasons, major events, or large conferences, advance coordination is particularly important.
Companies can reduce disruption risks by avoiding dependence on a single flight or airline wherever practical. Splitting travellers across multiple departures, allowing sufficient arrival buffers, and identifying alternative flights can help protect important meetings and events. A designated travel support contact also helps coordinate rebooking and communicate changes quickly.
Companies should look for a provider that can coordinate flights, accommodation, ground transport, visa assistance, and travel support through a consistent process. Consolidated billing, clear reporting, responsive assistance, and experience managing group travel are also valuable. The provider should understand company policies and help control costs without compromising traveller convenience.
Businesses can simplify expense management by establishing a central approval process, using company payment methods where possible, and requesting consolidated invoices with traveller names and project codes. A corporate travel management partner can help organise booking records and billing information, making it easier for finance teams to reconcile expenses and review travel spending.
